WHO WE ARE LOOKING FOR

Our company is currently in search of a motivated and detailed individual to join our Phoenix Government Services (PGS) Team. The Bid and Contract Administrator will be responsible for analyzing and coordinate the administrative, technical and commercial aspects of the bid and contract process. Required to actively oversee the efficient and compliant execution of all bidding activities in accordance with public procurement standards and regulations and track their status and execution ensuring alignment to project deadlines.

WHAT YOU WILL BE DOING

  • Actively contributes to the development and implementation of all rules and procedures governing PGS bidding and contract processes ensuring compliance with internal and governmental controls and regulations.
  • Actively updates pricing for all government contracts.
  • Works with sales rep to add and modify items to contracts.
  • Maintains relationships with government agencies.
  • Coordinates the preparation and submission of Request for Proposals (RFPs) and other bid documents that are responsive to client requirements and in compliance with company objectives and are completed in a timely manner.
  • Prepares documents in accordance with standard templates for approval and signoff.
  • Maintain bid database, including "wins" and "losses", plus leads from agencies.

QUALIFICATIONS AND EXPERIENCE WE ARE LOOKING FOR

  • A thorough understanding of computer software and programs and the effective use of these computer skills. Experience with and the ability to effectively use Microsoft Office Suite, particularly Word, Outlook, and Excel are required.
  • Ability to interact with customers, sales staff, and other company personnel in a manner that promotes customer retention and creates a positive work culture reflective of Phoenix's commitments.
  • Time management: the ability to organize, prioritize, and manage multiple priorities.
  • Problem solving and decision making skills
  • Ability to effectively communicate both in an oral and written manner.
  • Ability to perform successfully with indirect supervision; self-starter/self-motivated and persistent.
  • Accepting of performing repetitive tasks daily.
